A workspace has one owner, who can invite other people into it by email and choose which orbits each of them can reach. Being in a workspace does not mean seeing everything in it, and the owner can widen or narrow that access later; somebody left with no orbits at all is removed rather than left with an empty shell, and is told when either happens. There are two roles, editor and viewer.
Everything the workspace produces is saved to the owner’s Google Drive, so there is one source of truth rather than a copy per person. A person can belong to several workspaces — their own, plus any they have been invited to — and switches between them in the app; orbits, tasks, artifacts and conversations never cross between them.
People sharing a workspace can message each other inside the product. Every orbit has a room containing exactly the people with access to that orbit, and any two people who share an orbit can message directly. Messages carry images, audio and video that play inline, files up to 8MB, GIFs, link previews and reactions, and can be edited for 15 minutes after sending; unread state shows in the notification bell and can raise a push notification. Crew can also be invited to a scheduled Focus session, accept or decline it, and receive a Google Meet link in the reminder.

Its Google sign-in uses an OAuth integration that has completed Google's verification process, so users see a standard, verified Google consent screen rather than an “unverified app” warning.
